Guest Agreement & Terms of Travel
Carolina Panthers Day Trip & Tailgate Experience
IMPORTANT
Please read this Guest Agreement carefully before making your reservation.
By submitting payment, paying a deposit, entering into a payment plan, accepting an invoice, or
participating in any Coastal Palm Travel ("CPT") trip or event, you acknowledge that you have
read, understand, and agree to these Terms & Conditions.
Reservations & Payments
Reservations are not guaranteed until the required deposit or payment has been received.
All prices are quoted per person unless otherwise noted.
Guests selecting a payment plan agree to make all payments by the due dates listed on their
invoice.
Failure to make payments by the scheduled due dates may result in cancellation of the
reservation and the application of all applicable cancellation penalties.
Payments more than seven (7) calendar days past due may result in the release of reserved seats
without further notice.Returned checks, declined credit cards, payment disputes, or chargebacks may be subject to
additional processing fees, collection costs, and legal expenses where permitted by law.
Cancellation Policy
Because transportation, stadium tickets, tailgate food, parking, and other event costs are
purchased in advance, the following cancellation policy applies:

More than 60 days before departure $50 per person
31–59 days before departure $150 per person
30 days or fewer before departure No Refund (100% Penalty)
No refunds will be issued for:
• No-shows
• Missed departures
• Voluntary withdrawal from the trip
• Removal due to violation of these Terms
Approved refunds will be processed after all applicable cancellation fees, processing charges,
and non-recoverable expenses have been deducted.

Not Included
The following are not included unless specifically stated:
• Alcoholic beverages
• Stadium concessions
• Souvenirs
• Personal purchases
• Travel insurance
• Hotel accommodations
• Medical expenses
• Alternate transportation if you miss the coach
Electronic Game Tickets
All game tickets are mobile electronic tickets.
Tickets are generally distributed approximately 3–7 days before game day, although distribution
timing is controlled by the ticket provider and may vary.
Guests are responsible for providing a valid email address and possessing a smartphone capable
of accepting and displaying mobile tickets.
Coastal Palm Travel is not responsible for delays caused by incorrect contact information or
mobile device issues.Departure Information
Guests should arrive no later than 30 minutes before departure.
The motor coach will depart promptly at the scheduled departure time.
Passengers who fail to arrive before departure will be considered No Shows and forfeit all
monies paid.
The return trip will depart approximately 90 minutes after the conclusion of the game, unless
otherwise announced by CPT staff.
Guests who fail to return to the bus by the designated departure time are responsible for
arranging and paying for their own transportation home.
Passenger Conduct & Safety
To ensure a safe and enjoyable experience for all guests:
Passengers must conduct themselves respectfully toward fellow guests, the driver, CPT staff, and
venue personnel.
Disruptive, abusive, threatening, intoxicated, unsafe, or illegal behavior may result in immediate
removal from the trip without refund.
Guests agree to follow all instructions provided by CPT staff, the motor coach driver, stadium
personnel, and law enforcement.
Food, Beverages & Alcohol
Packaged snacks and beverages are permitted.
Foods that may spill, stain, damage upholstery, or create excessive debris are prohibited.
Passengers are responsible for removing their trash.
Cleaning or damage caused by spills, food, beverages, bodily fluids, or other guest negligence
may result in additional cleaning or repair charges.Alcohol consumption must comply with all applicable federal, state, and local laws.
Illegal drugs are strictly prohibited.
Smoking, vaping, and electronic cigarettes are prohibited onboard the motor coach.
Tailgate Experience
The tailgate experience is provided as a courtesy to enhance your game day.
Food selections, menu items, beverages, setup location, and duration may change due to weather,
traffic, parking assignments, venue restrictions, or product availability.
Tailgate modifications do not constitute grounds for refund.
Vehicle Amenities
Wi-Fi, Bluetooth connectivity, television service, charging ports, and onboard entertainment are
complimentary amenities.
Availability and uninterrupted operation are not guaranteed.
No refunds or credits will be issued for temporary outages or equipment malfunctions.
Personal Property
Guests are solely responsible for their personal belongings.
Coastal Palm Travel is not responsible for lost, stolen, or damaged property.
Found items may be retained for up to thirty (30) days when practical.
Shipping costs for returned items are the responsibility of the guest.Weather, Delays & Schedule Changes
Trips operate rain or shine unless travel is determined to be unsafe.
Game dates, kickoff times, parking locations, departure times, and itineraries are subject to
change due to NFL scheduling, weather, traffic, venue operations, or circumstances beyond
CPT's control.
Reasonable schedule changes do not constitute grounds for cancellation or refund.
Medical Emergencies
Guests participate at their own risk.
In the event of a medical emergency, CPT may contact emergency medical services.
Any medical expenses incurred remain the sole responsibility of the guest.
Accessibility
Guests requiring mobility assistance or ADA accommodations should notify CPT before
booking.
While reasonable accommodations will be made whenever possible, certain venue limitations
may apply.
Guests under eighteen (18) years of age must travel with a parent or legal guardian.
Photography
Photographs and videos taken during the trip may be used by Coastal Palm Travel for
promotional purposes.
Guests who prefer not to appear in promotional materials should notify CPT in writing before
departure.Limitation of Liability
Coastal Palm Travel acts as an independent tour organizer and contracts with third-party
transportation providers, caterers, parking facilities, ticket providers, and venues.
CPT shall not be liable for delays, schedule changes, traffic, weather, mechanical failures, acts of
God, governmental actions, labor disputes, terrorism, civil unrest, venue decisions, or any
circumstance beyond its reasonable control.
In all cases, CPT's maximum liability shall not exceed the amount actually paid by the guest for
the affected trip.
Force Majeure
Coastal Palm Travel shall not be liable for cancellations, delays, interruptions, or changes
resulting from severe weather, hurricanes, flooding, pandemics, governmental orders, road
closures, labor disputes, terrorism, utility failures, mechanical breakdowns, or other events
beyond its reasonable control.
Chargebacks & Collection Costs
Guests agree not to initiate credit card chargebacks or payment disputes for charges consistent
with this Agreement.
If CPT must pursue collection of unpaid balances, improper chargebacks, damages, or other
amounts owed, the guest agrees to reimburse CPT for reasonable attorney's fees, arbitration
costs, court costs, collection expenses, and administrative fees to the extent permitted by law.
Arbitration & Governing Law
Any dispute arising from this Agreement shall be resolved exclusively through binding
arbitration in Horry County, South Carolina, in accordance with the rules of the American
Arbitration Association (AAA) or another mutually agreed arbitration service.Guests waive the right to participate in any class action or representative proceeding.
This Agreement shall be governed by the laws of the State of South Carolina.
Acceptance of Agreement
Submission of payment, acceptance of an invoice, execution of a payment plan, electronic
acceptance, or participation in any Coastal Palm Travel event constitutes acknowledgment and
acceptance of this Guest Agreement & Terms of Travel.
This Agreement represents the entire understanding between Coastal Palm Travel and the Guest
and supersedes any prior verbal discussions or representations.
