Coastal Palm Travel
Terms & Conditions
Effective Date: July 1, 2026
By booking travel arrangements with Coastal Palm Travel ("the Agency"), you acknowledge that you have read, understood, and agree to these Terms & Conditions.
1. Booking & Payments
A reservation is not confirmed until the required deposit or full payment has been received. Final payment must be made by the due date provided at the time of booking. Failure to make payment by the due date may result in cancellation of your reservation and the loss of any deposits previously paid.
Accepted payment methods are subject to change without notice.
2. Cancellation & Refunds
Cancellation penalties are determined by the airline, cruise line, hotel, tour operator, event organizer, or other travel supplier.
Agency service fees, planning fees, and processing fees are non-refundable unless otherwise stated in writing.
Refunds, when available, are processed according to the policies and timelines of the travel supplier. Coastal Palm Travel cannot guarantee refund amounts or processing times.
3. Changes to Reservations
Changes requested after booking may result in additional fees charged by the travel supplier and/or the Agency.
Availability and pricing are not guaranteed until changes have been confirmed.
4. Travel Documents
It is the traveler's responsibility to obtain and carry all required travel documents, including valid identification, passports, visas, vaccination records, or other documentation required by the destination.
The Agency is not responsible for costs or losses resulting from insufficient or invalid travel documentation.
5. Travel Insurance
Travel insurance is strongly recommended for all trips.
Travel insurance may provide protection for trip cancellations, medical emergencies, baggage loss, travel delays, and other unforeseen events. Declining travel insurance means you accept responsibility for losses that may not otherwise be covered.
6. Prices & Availability
Prices are subject to change until payment has been received and reservations are confirmed.
Suppliers may adjust pricing due to fuel surcharges, taxes, exchange rates, government fees, or other circumstances beyond the Agency's control.
7. Supplier Responsibility
Coastal Palm Travel acts solely as an independent travel agency arranging services provided by airlines, cruise lines, hotels, transportation companies, tour operators, sporting venues, and other independent suppliers.
The Agency is not responsible for the acts, omissions, delays, cancellations, schedule changes, bankruptcy, overbooking, weather events, labor disputes, mechanical failures, or other actions of these suppliers.
8. Limitation of Liability
Coastal Palm Travel shall not be liable for any injury, illness, loss, damage, accident, delay, inconvenience, or additional expense resulting from circumstances beyond its reasonable control, including but not limited to weather, natural disasters, government actions, strikes, pandemics, supplier cancellations, or transportation delays.
The Agency's liability, if any, shall be limited to the amount of service fees paid directly to Coastal Palm Travel.
9. Group Travel & Sporting Events
For group trips, concerts, sporting events, or special events, tickets and event packages are generally non-refundable once purchased unless otherwise stated.
Group seating assignments are determined at the time of ticket purchase and generally cannot be changed.
Departure times are firm. Travelers arriving late may forfeit transportation without refund.
10. Traveler Responsibilities
Travelers are expected to conduct themselves in a respectful and lawful manner throughout the trip.
The Agency reserves the right to refuse future services to any individual whose behavior creates safety concerns or significantly disrupts other travelers.
11. Photography & Marketing
Unless otherwise requested in writing, the Agency may use photographs taken during group trips for promotional purposes, including social media and marketing materials. No names or personal information will be published without permission.
12. Governing Law
These Terms & Conditions shall be governed by the laws of the State of South Carolina. Any disputes shall be resolved in the appropriate courts located within South Carolina.
Acceptance
By making a reservation or submitting payment, the traveler acknowledges acceptance of these Terms & Conditions.
